Electronic Record Policy

Electronic calibration data that is collected using MiraCal by a METTLER TOLEDO service technician during the service process is considered by METTLER TOLEDO to be the original calibration record. Customers may request a printed copy of this record for use in their quality systems. METTLER TOLEDO will store the electronic record indefinitely for recall via secure web access through DataX. All electronic data records are archived in accordance with METTLER TOLEDO disaster recovery practices.

If in the future METTLER TOLEDO decides to discontinue this service, the original records will be returned to the owner of record at the time of discontinuance.

Electronic Signature Policy

METTLER TOLEDO has designed MiraCal to ensure traceability of all test data back to the point of origin. This is accomplished by printing a unique identification number on each calibration document generated by the software. The software version of MiraCal is documented on each certificate as well. The identification number of the calibration document is formatted to ensure that the number will not be replicated by MiraCal.

The identification number is constructed in the following manner:

  1. The first set of digits are the technician number. This number is unique to every technician and is not reused when a technician leaves the company.
  2. The middle set of digits is a counter generated by the software. This counter will reset when it hits its maximum. Point number 3 negates the impact of the resetting of the counter.
  3. The final set of digits is the day, month and year in which the calibration record was generated.

An example of an identification number would be 050501-0001-01022002174522. In this example technician 050501 would have generated this record, the system-generated number is 0001 and it was created on January 02 of 2002 at 17 hours, 45 minutes and 22 seconds.

This electronic record is then transferred through METTLER TOLEDO's secure extranet connection where it is stored and archived at our data center in accord with our strict procedures for backup and disaster recovery. When this data is transferred and stored, the document's identification number is transferred and stored as well.

When a document is printed from the storage facility the identification number will be printed on the document. This number will have a suffix added, i.e. E01. This number will increment every time the document is rendered for viewing or for printing from this site.

The above process constitutes METTLER TOLEDO's policy for creation and tracking of the electronic signature for MiraCal.

METTLER TOLEDO has included mechanisms for traceability and security, and has included other safety features to ensure the integrity of electronic data that is transferred, maintained, and available for viewing by our customers in DataX. Users of DataX should determine what, if any, additional procedures should be implemented within their own environment regarding its use in order to comply with internal or regulatory requirements.
